Terms of Service

The rules for using DocuDevs document processing, APIs, SDKs, web application, token billing, integrations, and managed AI workflows.

Agreement

These Terms of Service ("Terms") govern your use of DocuDevs.ai and the related document processing services operated by Gabria Oy, a company registered in Finland ("DocuDevs", "we", "us", or "our").

By creating an account, buying tokens, accessing a dedicated environment, or using the Service, you agree to these Terms. If you use the Service on behalf of an organization, you represent that you have authority to bind that organization.

The Service

DocuDevs provides intelligent document processing for extracting, evaluating, and routing structured data from documents. The Service can include the public website, web application, workbench, APIs, SDKs, CLI, documentation, templates, batch processing, source-location evidence, lookup files, knowledge bases, document evaluation, agent-assisted configuration, visual integration builder, webhooks, and edge or managed runtime features.

Dedicated environments, Azure Marketplace procurement, customer-hosted installations, managed runtime capacity, support commitments, and custom professional services may be governed by separate written terms. If those terms conflict with these Terms, the separate written terms control for that deployment or order.

Accounts

  • You must provide accurate account, organization, and billing information.
  • You are responsible for keeping login credentials, API keys, provider credentials, and runtime secrets secure.
  • You are responsible for all activity under your account and organization.
  • You must be at least 16 years old to use the Service.
  • Access may be private, invite-only, or restricted to approved organizations.
  • One person or entity may not maintain duplicate accounts to avoid limits, billing, or enforcement.

Payments and tokens

DocuDevs uses a prepaid token system for self-serve usage unless otherwise agreed.

  • Token packs are one-time purchases. There are no recurring self-serve subscription charges unless a separate order says otherwise.
  • Tokens are debited based on operation type, OCR or parser selection, LLM tier, runtime usage, and enabled options.
  • Purchased tokens do not expire.
  • Token purchases are non-refundable except as required by applicable law or expressly agreed in writing.
  • If your token balance reaches zero, API and workflow requests may fail with a payment-required status until you add tokens.
  • We may change token pricing, pack sizes, included features, and billing rates for future purchases or future usage. Existing token balances are not reduced by pack-price changes.
  • Azure Marketplace purchases may be billed through your Microsoft cloud billing relationship and may also be subject to Microsoft marketplace terms.

Card payments are processed by Stripe. By making a Stripe payment, you also agree to the applicable Stripe legal terms.

Your documents and data

  • You retain ownership of documents, prompts, schemas, templates, lookup files, knowledge bases, configurations, and extracted results you provide or generate through the Service.
  • You grant us the limited rights needed to host, transmit, process, transform, store, display, and return that content solely to provide and operate the Service.
  • You are responsible for ensuring you have the rights, notices, permissions, and lawful basis required to process the documents and personal data you upload.
  • We do not use your documents, prompts, lookup files, knowledge bases, or extracted results to train DocuDevs models or third-party foundation models.
  • Temporary documents and results are retained as described in the Privacy Policy. Items saved to cases, knowledge bases, lookup files, templates, configurations, or runtime flows remain until deleted or otherwise agreed.

AI processing and outputs

  • AI, OCR, parsing, source-location, and evaluation outputs may be incomplete, inaccurate, or unsuitable for a particular use case.
  • You are responsible for reviewing outputs before relying on them, especially for legal, financial, medical, employment, insurance, public-sector, or other regulated decisions.
  • The Service is not a substitute for professional advice, human review, compliance controls, or required quality assurance.
  • You are responsible for assessing whether your use is subject to the EU AI Act, GDPR automated decision-making rules, sector regulation, or other laws that require transparency, human oversight, logging, risk management, or conformity assessment.
  • Source evidence and confidence signals are aids for review; they are not guarantees that an extracted answer is correct.

Providers, runtimes, and integrations

DocuDevs may use Microsoft Azure, Azure Document Intelligence, Azure OpenAI or Microsoft Foundry models, Supabase, Stripe, OAuth providers, and other subprocessors to provide the Service. Some workflows also let you connect your own LLM, OCR, storage, email, file, webhook, cloud, or runtime providers.

  • When you bring your own provider, the provider processes data under your agreement with that provider.
  • Bring-your-own LLM or OCR calls are not charged as managed DocuDevs LLM or OCR usage, but platform, operation, storage, managed runtime, and other DocuDevs charges may still apply.
  • You are responsible for provider credentials, endpoint configuration, rate limits, provider costs, permissions, and data protection obligations for connected systems.
  • For edge or customer-hosted runtime flows, you are responsible for the runtime environment, connected folders, networks, secrets, and local data access unless a separate written agreement says otherwise.

Acceptable use

You agree not to:

  • Use the Service for illegal, harmful, deceptive, infringing, or abusive activity.
  • Process documents that you do not have the right to process.
  • Upload malware, malicious content, or content designed to disrupt the Service.
  • Attempt to bypass authentication, rate limits, billing, token accounting, usage controls, or security controls.
  • Share API keys or credentials with unauthorized third parties.
  • Reverse-engineer, decompile, scrape, overload, or interfere with the Service or infrastructure.
  • Use the Service to build a competing product that directly repackages our hosted API or product experience.
  • Use outputs to make legally or similarly significant decisions about individuals without required human review, notices, legal basis, and safeguards.

We may suspend or terminate accounts, jobs, API keys, or runtime access for violations of these Terms.

Intellectual property

The Service, including its software, API, documentation, SDKs, interface, design, workflow builder, and branding, is owned by Gabria Oy or its licensors and is protected by intellectual property laws. These Terms do not grant you rights to use our trademarks, logos, or branding except as expressly permitted.

You may use our SDKs, generated artifacts, and API outputs for your internal business workflows and integrations, subject to these Terms and any applicable open-source or SDK license notices.

Availability and changes

  • We aim for reliable service but do not guarantee uninterrupted or error-free operation unless a separate written agreement provides a service level.
  • We may change, deprecate, or remove features, endpoints, SDK behavior, pricing units, or model/provider options with reasonable notice where feasible.
  • We may apply rate limits, quotas, maintenance windows, security restrictions, and abuse controls.
  • Preview, beta, or experimental features may change without notice and may not be suitable for production use.

Disclaimers and liability

To the maximum extent permitted by applicable law:

  • The Service is provided "as is" and "as available" without warranties of any kind, express or implied.
  • We do not warrant that documents will process successfully, outputs will be accurate, or integrations will remain compatible with third-party systems.
  • Our total liability for any claim arising from the Service will not exceed the amount you paid us in the 12 months before the event giving rise to the claim.
  • We are not liable for indirect, incidental, special, consequential, punitive, or lost-profit damages.

Termination

  • You may close your account by contacting us.
  • We may suspend or terminate accounts that violate these Terms, create security risk, cause service abuse, or remain inactive for an extended period.
  • After termination, your data will be deleted or anonymized as described in the Privacy Policy, except where retention is legally required or necessary to resolve disputes.
  • Unused token balances are forfeited if termination is for cause. If we terminate your account without cause, we will refund unused paid token balances where practical and legally permitted.

Changes to these Terms

We may update these Terms from time to time. If changes are material, we will notify users by email, in-product notice, or a notice on the website. Continued use of the Service after changes become effective means you accept the updated Terms.

Governing law

These Terms are governed by the laws of Finland. Any disputes will be resolved in the courts of Helsinki, Finland, unless mandatory consumer protection laws of your jurisdiction provide otherwise.

Separate written agreements

Enterprise order forms, marketplace terms, data processing agreements, dedicated environment terms, or customer-hosted installation terms may add to or override these Terms for the covered deployment.
